What is an AI tools assessment? Cost, process, and what you actually get.

An AI tools assessment is a paid diagnostic, not a sales call. A practitioner interviews you about how your business actually runs, identifies where your hours are going, and hands you a written prescription: the specific tools that fit your situation, what each costs, how long each takes to set up, and how many hours per week each should give back. You walk away with a document, not a proposal.

That last sentence is the entire test of whether you're buying a real assessment. If the deliverable is a meeting about a bigger engagement, you're in a sales funnel wearing a lab coat.

Why diagnosis-first beats tools-first

Most owners approach AI backwards: they hear about a tool, try it for a week, and abandon it because it didn't fit how their business works. The tool wasn't bad; the sequencing was. Nobody buys medicine before the diagnosis, but that's exactly how most small businesses buy software.

A proper assessment inverts this. It starts with your week, not the tool market: what you dread, what piles up, what repeats. Those three signals, applied to a ten-row inventory of your time, locate the work worth automating. Only then does tool selection make sense, and by then it's usually obvious. In our own assessments, 3-7 tools cover what a typical owner needs, and some of the best prescriptions aren't AI at all; they're ordinary software the owner didn't know existed.

What a real assessment includes

Format varies by provider, but a defensible version has four parts: a structured interview (ours runs 45 minutes) covering your workflows, team, and time sinks; a written report naming the exact tools with costs, setup times, and projected hours reclaimed; a start plan sequenced so the first win lands within days, not quarters; and a review session where the practitioner walks you through the report and answers what it raises. What it should cost

Traditional consultants price discovery at $5,000-$25,000 and deliver a deck. Productized assessments run $500-$2,500 flat. Whatever you pay, the number matters less than the structure: a flat, published price is itself a signal that the provider makes money on the diagnosis, not on what the diagnosis conveniently recommends.

The Clean Prescription Test

One question exposes most bad assessments: "Do you take commissions or referral fees from any tool you recommend?" If the answer is anything but a flat no, the prescription is an ad. The second question: "Is the guarantee in writing?" A provider confident in the diagnosis will put a number on it.

Assessment vs. hiring an AI consultant vs. doing nothing

A consultant bills hours and optimizes for engagement length. An assessment bills once and optimizes for the accuracy of a document. Doing nothing is also a choice with a price: whatever your reclaimable hours are worth, multiplied by every week you keep running on manual. For most owner-operated businesses between $500K and $5M, the honest math favors the assessment simply because it's the cheapest way to find out whether the bigger investments are worth making at all.

Spend fifteen minutes listing where your week actually goes before any interview: the tasks you dread, the ones that pile up when you're busy, the ones you've done identically a hundred times. That list doubles the value of any assessment because the interview starts at the real problems instead of excavating them.
